Messaging

Rooms include built-in messaging for real-time communication with customers and team members. How messaging works:
  • Messages appear in the social bar within the room
  • All room viewers can see and participate in conversations
  • Message notifications are sent to relevant team members
Sending messages:
  1. Open a room
  2. Click on the chat/messaging icon in the side bar
  3. Type your message and send
  4. Recipients receive notifications based on their settings
Best practices:
  • Use messaging for quick questions and clarifications
  • Keep discussions contextual to the room’s content
  • Tag specific people using @mentions
You can disable conversations in room sharing settings if you want a one-way experience.

Annotations

Add contextual notes and highlights directly on content within your room. Creating annotations:
  1. Select the content or action you want to annotate
  2. Click the annotation icon on the side bar
  3. Add your comment or note
  4. The annotation is saved and visible to room viewers

Add contributors

Add team members to collaborate on rooms.
  1. Open the room
  2. Click +Add in the top right
  3. Select Add contributors
  4. Search for team members by name or email
  5. Assign their role and send the invitation

When team members are assigned to actions, they are automaticailly added as contributors

How to use the room with customers

1. Share early, share often Don’t wait until everything is perfect. Share your room as soon as it has value for the customer. You can always add more content later. 2. Guide them through the room When sharing, point customers to the most relevant section. Use the share message to set context and expectations. 3. Use actions to drive next steps Add actions with clear owners and due dates. This creates accountability and keeps the deal moving forward. 4. Monitor engagement Use analytics to see who’s viewing, what they’re engaging with, and where they might be stuck. Follow up based on real data, not guesswork.
