Smart Queue gives you full control over the content generated by your workflows—including emails, summaries, and business cases. Instead of going out automatically, drafts are queued for your review, so you can personalize, approve, or skip them entirely. It’s your daily control center for scaling with confidence.

Why it matters

You’ve built automated workflows to keep things moving, but not everything should go out unchecked. Whether it’s an AI-generated follow-up or a proposal summary, some moments still need your input. Smart Queue gives you time back without giving up quality. Use it to:
  • Refine AI-generated content with your voice
  • Approve before sending anything to a prospect
  • Add a human layer to every automated message
  • Avoid back-and-forth or rushed manual follow-ups
It’s ideal when you want speed and control—not just one or the other.

What Smart Queue does

When a workflow reaches an action that includes AI-generated content (like an email or business case), you’ll see a toggle labeled: “Add to queue for review” If this is enabled, here’s what happens:
  1. A trigger fires (e.g., a deal stage changes or a form is submitted)
  2. The workflow moves to an action like Send Email or Add to Room
  3. That action includes an AI Agent, and the “Add to queue for review” toggle is on
  4. Flowla generates the draft content
  5. Instead of executing the action immediately, the content is sent to your Smart Queue
  6. You can:
    • Review and refine the draft
    • Approve and send it
    • Or dismiss it entirely

When should I use it

Smart Queue is about adding your personal touch when it matters most. Use it when:
  • You want to customize a follow-up email after a demo with insights from the conversation
  • You’d like to review and personalize a business case before adding it to the room
  • You want to approve and tailor Slack handoff notes before they’re sent to your CS team
  • You’re sharing something strategic or high-impact and want a quick review before it goes live
You’re skipping the heavy lifting—the content is already drafted. Smart Queue just gives you the space to fine-tune it.

How to enable it

Inside the Workflow Builder:
  1. Add an action like Send Email, Post to Slack, or Add to Room
  2. If the action includes AI-generated content, toggle on “Add to queue for review”
Flowla will hold this step for your approval before sending or posting.

Accessing your queue

To access your queue:
  • Click Smart Queue from your Workflow menu
  • Open any draft, make quick edits, and click Send or Dismiss

Queue item details

Each item shows:
  • Workflow name - Which workflow generated it
  • Trigger context - What triggered the workflow
  • Content preview - The output to be sent/executed
  • Created time - When it was added to the queue

Taking action

For each item you can:
  • Approve - Execute the action (send email, update CRM, etc.)
  • Edit - Modify the content before approving
  • Reject - Discard without executing

Best practices

  1. Start with queue enabled - Review output while testing new workflows
  2. Disable once confident - Remove queue for stable, tested workflows
  3. Keep queue for AI content - Always review AI-generated customer communications
  4. Build review into your routine - Check queue morning and evening
